Edgware Centre Hire – Standard Terms of Use
- Booking & Payment
- The hire fee and a refundable deposit of £200 must be paid upon booking to confirm the reservation.
- Bookings are only confirmed once payment and form are received.
- The deposit will be returned after the event if no damage is caused or additional cleaning required.
- Access & Supervision
- Hirers may access the premises only during agreed times. A staff member will greet you at access time and again at end of clean up to lock up.
- The centre is located within a shared-use building, and WC/toilet facilities are communal, with access available on each floor. We kindly ask all hirers to be mindful of other users and to leave the facilities clean and tidy after use.
- Mowbray House front door must not be left open unattended.
- Security must be booked for events over 50 attendees.
- A responsible adult must be present at all times during the event.
- Hirers are responsible for setting up the room and leaving it as it was found.
- Events must end by 11:00pm, and clean-up by 11:30pm.
- Kashrut & Catering
- The kitchen is designated for meaty/parev food only and may bring a caterer with a hechsher under Kedassia, Federation, London Board of Shechita or KLBD supervision or with a mashgiach who is certified by one of these boards and who confirm in writing that they are responsible for the kashrut of the event. All other pre-packaged sealed food must have a reliable hechsher.
- All alcoholic spirits must be sealed and approved (check list here).
- All appliances must be cleaned after use. The hot trolley and urn must be turned off after use.
- You must provide your own garbage bags, cleaning and drying clothes and kitchen left clean and tidy.
- Disposables, utensils and dishes must be provided by the hirer.
- The centre is a nut-free site and products containing nuts or peanuts cannot be brought onto the premises.
- Seed food or drink must not be used nor removed from cupboards/fridges/freezers.
- Cleaning & Damage
- Hirers are responsible for leaving all spaces clean and tidy. Cleaning supplies are available behind the kitchen door and in the cupboard under the sink.
- All rubbish must be bagged and disposed of in the rubbish bins located in the car park.
- Any damage to Seed property must be reported and may be deducted from the deposit. If the cost of damage exceeds the £200 deposit, the hirer is liable to pay the difference.
- Safeguarding & Behaviour
- Events involving children must follow safeguarding guidelines.
- No alcohol, music or behaviour that contradicts Seed’s ethos is permitted without prior approval.
- Mixed dancing is not permitted.
- Health & Safety
- Emergency exits must remain clear at all times. Take note of the emergency procedures and route.
- Candles or any naked flames must not be left unattended at any time. If used, they must be placed on stable, non-flammable surfaces and extinguished fully before leaving the premises. The hirer is responsible for ensuring all fire safety precautions are followed.
- The hirer must not exceed the room’s maximum capacity.
- There is no first aider on site. A first aid kit is located in the kitchen. You are responsible for reporting any accident or near miss to the office.
- Smoking or vaping are not permitted inside the building.
- Cancellations
- If cancelled more than 14 days in advance: full refund.
- If cancelled less than 14 days in advance: £50 administration fee will be deducted from the refund.
- Liability and Insurance Cover for Hirers
Hirers who engage external contractors (e.g. bands, photographers) must provide proof of public liability insurance.
Our organisation’s insurance policy includes limited liability cover for individuals, groups, or organisations hiring our premises, provided they are not formally constituted or covered by their own insurance.
This cover applies only to legal liability for:
- Injury to others
- Damage to property
- Nuisance caused during the hire period
Conditions of Cover
To be eligible, hirers must:
- Not have their own insurance covering the activity.
- Use the premises only for permitted hire activities.
- Sign and date our terms and conditions of hire.
- Be aged 18 or over.
- Be recorded in our hire register.
Exclusions
This insurance does not cover:
- Any form of care or treatment beyond emergency first aid.
- Claims made by one member of a group against another.
- Claims related to employment by the group or organisation.
Hirers must comply with all relevant terms and conditions of our insurance policy. The maximum cover is £1,000,000 per event, including legal costs. Any excess stated in our policy schedule will apply.
If the hirer has other insurance that covers the same liability, our policy will only apply to amounts beyond what that insurance would pay.
