Event Terms & Conditions

These Terms & Conditions apply to your participation in Seed events, trips and other charitable activities. Your rights and other information concerning your personal data are outlined in our Privacy Notice.

For clarity, acceptance of these terms signifies that Seed will use your data for the purposes outlined below, and with the legal basis of fulfilling this Agreement. The other purposes and legal bases for which we may process your data when you visit the Seed website, or sign up to our mailing list, are outlined in our Privacy Notice.

These Terms and Conditions were updated in July 2025. We reserve the right to update these Terms and Conditions from time to time, in order to maintain our compliance with relevant UK law.

Please note that by proceeding, you acknowledge and agree to the following Terms and Conditions:

1. Communication and Data Use

Seed may contact you via email, phone, SMS or WhatsApp and post about your participation in the Event. We need to do this in order to ensure smooth administration, support, and fundraising communications, including:

– Administering the event or other activity you are signing up for
– Completing your registration with third party providers, if applicable
– Reporting to our financial supporters about event participation in order to receive grants and/or other financial support
– Informing you about the impact of this event, for example funds raised for Seed

We will share your contact details only with the Event Organisers or other third parties involved in the Event’s administration where relevant. Your data will not be shared with other organisations except where activities are held in collaboration with others, and only where relevant.

2. Cancelling your Participation

If you wish to withdraw from this Event or other activity, please notify us at your earliest convenience, before the registration deadline, so we may re-allocate your place.

Seed reserves the right to cancel the Event at any time. In such cases, registration fees will be refunded in full, but we will not be liable for any additional costs incurred by attendees.

3. Photography

You agree that any photos or videos taken during the Event may be used by Seed for promotional and marketing purposes across various channels, including our website, social media, and printed materials.

If you wish to opt out of such use, please tick ‘No’ to the ‘I consent to Seed taking and publishing photos/videos of me at Seed events for promotional purposes and using these in printed and online publicity’ on the booking form.

4. Liability

All participants attend the Event or other activity at their own risk. Seed accepts no responsibility for injury, loss, or damage unless caused by our negligence. Nothing in these terms limits liability that cannot be excluded under law.

If you or a member of your party has an allergy or other health condition / disability, we request that you inform us as far in advance of the event as possible, in order for us to be able to make appropriate arrangements.
